Privacy Policy

Quotido is a quoting, lead-capture and job-management platform for UK trade installation businesses. It is operated by APXE Ltd (trading as Quotido), a company registered in England and Wales (company number 15512775, registered office Crown House, 27 Old Gloucester Street, London WC1N 3AX, United Kingdom). In this policy, "Quotido", "we" and "us" mean APXE Ltd.
This policy explains what personal data we collect, why, and what your rights are. It covers our website (quotido.com), the installer dashboard (app.quotido.com), and the quote calculators and lead forms that installers embed on their own websites.
The two hats we wear
If you run an installation business using Quotido
We are the data controller for the information you give us when you create and use your account: your name, email address, company details, and billing information. We use it to provide the service, take payment, send you service emails, and support you.
If you send us your existing customer or install lists to set up your account, we handle them as your processor and use them only to prepare your import file. They're stored privately, opened only by the Quotido team member doing your setup (you can see each time they're opened), and deleted 30 days after you send them or 7 days after you import, whichever is sooner. You can delete them yourself at any time. The files themselves are not kept in our backups; their names and your notes stay in our database backups for up to 7 days after they're deleted.
If you got a quote from an installer's website
When you use a quote calculator or enquiry form on an installer's website (or a quote link they share), the details you enter — your name, contact details, property information and any photos you choose to upload — belong to that installer. The installer is the data controller; Quotido processes the data on their behalf as a data processor, only so the installer can give you your quote and follow up on your enquiry. If you want your details corrected or deleted, contact the installer first — and we will help them do it. You can also contact us directly using the details below.
What we collect and why
| Data | Whose | Why we process it |
|---|---|---|
| Account details (name, email, company info) | Installers | Providing the service; service emails; support (performance of a contract) |
| Billing details | Installers | Subscription payments — handled by Stripe; we never see or store full card numbers (performance of a contract) |
| Quote and enquiry details (name, contact details, property details, optional photos) | Installers' customers | Processed on the installer's instructions to produce quotes and manage enquiries and jobs |
| Customer and install lists you send us to set up your account | Installers' customers | Used only to prepare your import file, on your instructions; opened only by the Quotido team member doing your setup; deleted 30 days after upload or 7 days after import, whichever is sooner |
| Addresses / postcodes on quotes and jobs | Installers' customers | Distance and route calculations for the installer (see Google Maps below) |
| Technical data (IP address, browser type) | Everyone | Security, anti-spam and abuse prevention (legitimate interests) |
Who we share data with
We do not sell personal data, and we do not share it with anyone for advertising. We use a small number of service providers to run Quotido:
| Provider | What for |
|---|---|
| Supabase | Database, authentication and file hosting for the platform |
| Stripe | Subscription payments and invoicing for installer accounts |
| Mailgun | Sending transactional emails (quote emails, notifications, account emails) |
| Cloudflare | Network security, content delivery, and spam prevention (Cloudflare Turnstile) on our forms |
| Google Maps Platform | Calculating driving distances and routes from job and quote addresses — the lookup happens on our servers; Google does not set cookies in your browser through Quotido |
| Accounting platforms (Xero, Zoho Books, Intuit QuickBooks) | Only if an installer connects their own accounting software: customer contact details and invoice line items for that installer's jobs are sent to the platform the installer chose, on their instruction. Disconnecting stops this immediately. |
Each provider only receives what it needs for its job, and is bound by its own contractual and legal obligations to protect the data.
Photos
Customers can choose to attach photos of their property when getting a quote. Photos are stored privately, are visible only to the installer the quote belongs to (and to us for support and operational purposes), and are never public.
Cookies and local storage
We use only what the service needs to work — no advertising or cross-site tracking cookies:
- Sign-in session — keeps installers logged in to the dashboard.
- Cloudflare Turnstile — spam protection on quote and enquiry forms; it may set a cookie to tell humans from bots.
- Preferences — small local-storage values such as calculator progress, so you don't lose your place.
Where data lives and how long we keep it
Data is hosted with the providers above in the UK, the EEA, or other regions with appropriate safeguards in place (such as UK adequacy decisions or standard contractual clauses).
- Installer accounts — kept while the account is active, then deleted or anonymised within a reasonable period after closure, except where we must keep records longer (for example, tax and accounting law).
- Quotes, enquiries and jobs — kept under the installer's control; installers can delete customer records, and account closure removes their data from the live service.
- Backups — deleted data leaves routine backups on a rolling schedule.
Your rights
Under UK data protection law (UK GDPR and the Data Protection Act 2018), you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise any of these, email us — and remember that for quote and enquiry data, your installer is the controller, so we may fulfil your request together with them.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
If we make material changes, we'll update this page and, where the change affects installers' accounts, tell them by email. The "last updated" date at the top always reflects the current version.
